Our Services - Mail Processing

The UAMS Mail Processing Center’s employees:

  • Handle and process all incoming mail
  • Prepare outgoing mail for the U.S. Postal Service
  • Provide mail services within the campus
  • Support all the mailing needs for the hospital and campus
We also follow all U.S. postal regulations and provide postal information to people on campus.

Collection and Delivery

Our drivers collect and deliver mail to the local U.S. Postal Service (USPS) twice daily Monday through Friday. Delivery times are 7:30 a.m. and 4:30 p.m. USPS picks up mail from us at noon each weekday.

All mail we receive by 3 p.m. will be sent out and postmarked that day.

We process about 25,000 pieces of mail daily. Incoming mail is sorted by slot number and placed in departmental mailboxes, with the exceptions of the express and certified mail and other special deliveries.

Express Mail

Express Mail is an overnight service the USPS provides. After incoming express pieces are signed for an entered into a log, we try to contact the addressee for immediate pickup. If a piece is not picked up within 24 hours, it will be treated as regular, first-class mail.

We have all the paperwork needed for you to send outgoing Express Mail from UAMS and can help you with it if needed. USPS delivers most Express Mail the next day, but some areas may require more time.

Contact us for more information about Express Mail delivery schedules. Outgoing Express Mail must be in our processing center by 2 p.m. to meet the USPS schedule.

Priority Mail

Priority Mail provides 2-3 day services to most US destinations. International priority service provides 5-7 day service to most countries.

Certified, Insured and Registered Mail

We have all the USPS paperwork needed to send insured, certified and registered mail. The cost varies with the service and weight. Departments are charged for these services. We provide this service only to UAMS accounts, not individuals.

Mail Processing employees sign for and log certified, insured registered and other mail that requires a signature. We place notifications about each item in department mailboxes and hold items for up to 4 hours so a department employee can sign for them. If items are not picked up within 4 hours, we treat them as regular, first-class mail.

  • Optional insurance against loss or damage is available at a reasonable price. You may insure mail items up to $5,000. The cost of insurance is based on the dollar value you place on an item. Go to usps.com to find rates.
  • Registered mail is the USPS’s most secure service. Through a system of receipts, the USPS monitors the movement of registered mail through delivery. The sender gets a receipt at the time of mailing, and the USPS records the delivery. Optional indemnity is available for protection against loss or damage.

Registered Mail

Registered mail is the most secure service offered by the U.S. Postal Service. Through a system of receipts, the USPS monitors the movement of the mail piece from the point of acceptance by the USPS to the point of delivery. The sender of the mail piece receives a receipt at the time of mailing, and a delivery record is kept at the post office servicing the delivery address. This service also provides optional indemnity for additional protection in the event of loss or damage.

Bulk Mail

The guidelines to classify mail as standard (bulk) are:

  • A minimum of 200 pieces
  • All pieces must have U.S. addresses
  • All pieces must be the same weight
  • The mail must be placed entirely in ZIP Code order
  • The mail must have a return address (needed for non-profit discount rates)
