SUBJECT: EQUIPMENT AND FURNITURE MOVING PROCEDURES

PURPOSE

The purpose of this policy is to inform departments within the University of Arkansas for Medical Sciences (UAMS) of the procedures to be followed when requesting moves from Property Services.

PROCEDURE

  1. Departments requesting moving assistance must submit an Equipment and Furniture Moving Form. This form must be received by Property Services one week in advance of the proposed moving date. Scheduled moving days and times are normally Monday through Friday from 8:00 a.m. to 3:00 p.m. This form can be sent to Property Services via E-mail, fax (686-8118) or campus mail.
  2. Upon receipt of the form the Moving Crew Manager will contact the department requesting moving assistance. The Moving Crew Manager will confirm a moving date and time. The Moving Crew Manager will also determine if any other departments such as Physical Plant must be involved with the move.
  3. If Property Services is unable to fulfill a department's moving needs due to size, difficulty or time requirements, Property Services will contact the department to explain why they are unable to complete the move, then assist the department in contacting a moving company. A schedule of moving fees is available by contacting the Moving Crew Manager at 296-1047. Free moving fee estimates can be obtained by contacting the Moving Crew Manager.
  4. The following procedures are to be followed by the requesting department in preparing for a move.
    1. All items should be packed prior to the scheduled move date. Any fragile items boxed should be marked "Fragile". Property Services will not be responsible for damage incurred to items incorrectly packed and/or marked. Property Services will not pack any items for the moving department, unless it has been pre-arranged with the Moving Crew Manager.
    2. All drawers in desks and file cabinets must be emptied and left in place.
    3. All equipment that is to be moved shall be disassembled. Property Services will not assemble or disassemble either equipment or furniture.

    5. Any chemicals that are to be moved must be cleared with Occupational Health and Safety prior to the move time.1
  5. Property Services will not move small objects that do not require the use of a hand truck, dolly or small float.
